Partnership Guidelines

Our Commitment to Companies

MOMENT is dedicated to creating meaningful connections between companies and talented students at KTH. We believe in fostering partnerships that are mutually beneficial and aligned with our core values. All participating companies are expected to provide genuine career opportunities and maintain professional conduct throughout all MOMENT events.

Marketing & Communication

MOMENT is not responsible for errors in text, information, or other materials submitted by companies. Companies have the option to decline participation in MOMENT marketing activities. If a company's contact person does not respond to their assigned company host after 3 emails, the company is considered to have declined participation in marketing.

Equipment & Logistics

Equipment and materials that companies wish to have available during the fair must be transported according to instructions provided during registration. MOMENT is not responsible for company belongings unless otherwise agreed in a separate document. Forgotten items will be stored securely and can only be collected by prior appointment. MOMENT reserves the right to charge storage fees for company belongings not collected during specified times.

Payment Terms

Package prices are listed with 0% VAT. Cost price for any additions will be added. Payment terms are 30 days. Companies are invoiced the total amount no later than 30 days after the agreement end date. Any additional costs incurred during, for example, the fair day are invoiced continuously. Examples of such costs may include, but are not limited to, costs for damage to premises due to activities conducted by the company in connection with the fair. Kungliga Maskinsektionen, THS reserves the right to charge invoicing fees and any late payment interest in accordance with the Swedish Interest Act §6.

Cancellation Policy

Cancellation fees apply according to the timeline specified in your signed contract. Early cancellations will incur a cost of half the total amount, while late cancellations will result in the full cost being invoiced. Specific dates are outlined in your participation agreement. A cancellation is considered submitted when an email about cancellation has been sent from the company's contact person to the contact person at MOMENT according to the agreement.

Force Majeure

If an event occurs beyond the control of the company or MOMENT that prevents them from fulfilling the obligations of this agreement, neither party shall be liable for payment. It is incumbent upon the party wishing to invoke Force Majeure to inform the other party in writing as soon as possible and to do everything in their power to minimize damages to the other party. Events that count as Force Majeure include but are not limited to: war, terrorism, mobilization or similar threats; riots, uprisings or extensive vandalism; fire, earthquake or flooding; and strikes.

Pandemic Policy

In the event of widespread pandemic or similar disease outbreak, the following guidelines apply: The fair will be conducted as planned if possible while following the Public Health Agency and Parliament's restrictions and recommendations. If the fair cannot be conducted as planned, it will, if possible, be postponed and secondarily become digital. The last resort is to cancel completely.

Data Privacy & GDPR

Companies consent to MOMENT processing company customer and personal data in connection with the agreement. Companies understand and consent that such customer and personal data may be disclosed to external partners and used for marketing purposes or to fulfill the agreement. MOMENT may supplement customer and personal data by obtaining information from private and public registers. Companies consent to MOMENT storing customer and personal data in its customer database to contact exhibitors for future collaborations. Companies have the right to access, update, and correct customer and personal data registered in accordance with the agreement and to withdraw given consent. In such cases, companies must notify the project manager at MOMENT in writing during the current operating year.

Dispute Resolution

Disputes concerning the interpretation or application of this agreement shall primarily be resolved through mutual agreement. Otherwise, Swedish law applies.

Introduction

Recruitment Applications

When you apply for recruitment positions within the MOMENT project, your application is handled through Podio, a collaborative work platform operated by Citrix. Podio acts as a data processor on our behalf. The personal information you provide during your application (name, email, program, year, CV, cover letter, answers to application questions, etc.) is collected and processed according to Podio's privacy policy and our recruitment agreements. This data is used solely for evaluating your application and managing the recruitment process for MOMENT team positions. We retain recruitment data for the duration of the recruitment period and may keep applications on file for future recruitment cycles with your consent. Company Registration & Participation

For companies wishing to participate in MOMENT, registration and participation agreements are handled through Podio, a collaborative work platform operated by Citrix. We collect and process contact information, company details, representative information, and participation preferences through Podio registration forms. Podio acts as a data processor on our behalf. This information is used to coordinate event logistics, marketing, communication, and fulfill our contractual obligations as outlined in our participation agreements. We retain company data for the duration of the partnership and may keep it on file for future collaboration opportunities. Event Participation Data

When you register for MOMENT events (career fair, contact interviews, banquet, etc.), your registration is handled through external platforms. The personal information you provide during registration (name, email, program, CV, etc.) is collected and processed according to the terms of those platforms and our participation agreements. This data may be shared with participating companies only for the specific events you register for, such as contact interviews where direct company-student matching is necessary.

Data Retention

We retain website analytics data for as long as necessary to fulfill the purposes outlined in this policy. Event participation data is retained according to our operational needs and legal obligations. You may request deletion of your personal data by contacting us at info@momentkth.se, subject to any legal requirements to retain certain information.

Your Rights

Under GDPR, you have the right to access your personal data and request corrections, request deletion of your personal data (right to be forgotten), object to processing of your personal data, request restriction of processing, data portability, and withdraw consent at any time. You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten) if you believe your data protection rights have been violated.

Equality, diversity, and equal treatment (JML - Jämlikhet, Mångfald och Likabehandling) are fundamental to all activities within the Royal Institute of Technology's Machine Section, and naturally serve as MOMENT's guiding principles. These values permeate everything we do and are essential to MOMENT's success. We believe these principles are key to advancing companies, industry, and society. For us, JML is not just a slogan—it's something we actively work with every day.

Workshops & Education

Understanding the importance of JML can be challenging, especially for those in privileged majority groups. To educate and increase awareness, we conduct regular workshops and training sessions with all MOMENT participants throughout the year. These workshops help us collectively create an open and inclusive environment. We also encourage our partner companies to work internally with these issues and educate their representatives who interact with students.

Diversity & Equal Conditions

All students are welcome to engage in MOMENT regardless of background. This is achieved through an open and impartial recruitment process, followed by active efforts to ensure everyone is visible and heard. Functional variations of any kind should not be a barrier to participating in MOMENT or attending our events. We ensure equal access for all participants through thoughtful planning and accommodations.

Accessibility

We ensure that microphones are available during lunch lectures so that individuals with hearing impairments have the same opportunity to participate as others. When selecting venues for our events, we verify that wheelchairs and similar mobility aids can be accommodated. Participants with questions about accessibility or special needs should know where to turn for assistance.

Language Inclusivity

The Machine Section has many international students, particularly in master's programs. Therefore, MOMENT ensures that all marketing and information is available in English. Our ambition is that several of our events are conducted in English and that all exhibiting companies have at least one English-speaking representative present during the fair. This way, no students are excluded from participation, and exhibiting companies reach a broader student audience.

Gender Equality

Students of all gender identities are welcome at MOMENT, and we strive for broad representation in our project. We encourage exhibiting companies to include representatives of different gender identities at events. This actively demonstrates that, like us, you believe competence is not linked to a person's gender identity.

Sustainability Commitment

Our Environmental Responsibility

It is essential that MOMENT's operations go hand in hand with sustainability, encompassing both environmental and social sustainability. Our vision is for MOMENT to become a leading fair in sustainability through ambitious goals and smart strategies, while serving as a role model for similar projects. MOMENT 2026 works strategically with sustainable development and maintains a long-term perspective in everything we do. By carefully reviewing all processes to identify problem areas, we can develop tailored solutions.

MOMENT Transport

MOMENT Transport is a service that provides exhibiting companies with a sustainable alternative for transporting booth materials to the fair. By coordinating transports together, emissions can be significantly reduced. This collaborative approach minimizes environmental impact while ensuring efficient logistics for all participants.

Waste Sorting & Recycling

It is extremely important to us that the waste we produce is recycled properly. During both the fair itself and all other events we organize, waste is sorted at source (paper, plastic, metal, glass, and compostable materials) for proper recycling. We implement comprehensive sorting systems to ensure maximum recycling rates.

Single-Use Items

Since certain single-use plastic items are banned by the EU, MOMENT has chosen to completely stop using such products. Instead, we focus on using paper-based single-use items and reusable items where possible and environmentally beneficial. We are phasing out single-use promotional items and have an ongoing initiative for items that can be reused for several years. We encourage exhibiting companies who wish to distribute promotional items to students at the fair to avoid single-use products.

Social Sustainability

It is natural for us to work toward a socially sustainable fair where all individuals feel safe and included, both participants and exhibitors. This is achieved through continuous work according to JML principles (Equality, Diversity, and Equal Treatment), ensuring a welcoming environment for everyone.

Marketing & Communication

We focus primarily on digital marketing to minimize environmental impact. This is achieved through social media, our website, and email communications to students. All internal communication within MOMENT also takes place via digital platforms and cloud services, completely eliminating the need to print various documents and images.

Food & Catering

Since a large portion of climate impact from food comes from meat, MOMENT has chosen to serve vegetarian food that is, to the greatest extent possible, locally produced, organic, and vegan. This approach significantly reduces our carbon footprint while providing healthy and sustainable meal options for all participants.
